Windows Protected Print: What You Need to Know

Microsoft’s Next Step in Print Security

Microsoft is making a bold move in print security with Windows Protected Print (WPP) on Windows 11. If your organization relies on network printing, this update could shake things up—impacting workflows, security, and compatibility. Here’s what you need to know to stay ahead of the curve.

What is Windows Protected Print (WPP)?

Windows Protected Print (WPP) enhances security by requiring Windows PCs to use ‘driverless printing’—a method that eliminates the need for traditional manufacturer print drivers. This reduces the risk of cybercriminals exploiting vulnerabilities to gain SYSTEM-level access.

How Does Windows Protected Print Work?

  • If a user enables WPP, their manufacturer print drivers are removed, and they can only use Mopria-certified printers with standard “Internet Printing Protocol” (IPP) drivers.
  • Advanced printing features (stapling, pull printing, etc.) are limited with IPP drivers, offering only basic print preferences.
  • If WPP is disabled, users will need to manually reinstall manufacturer print drivers.
  • Currently, WPP is optional, but by 2027, Microsoft plans to make it the default.

Preparing for the Future

As Microsoft moves towards making WPP the standard, organizations should proactively assess their print environment to avoid workflow disruptions. Here’s how:

1. Assess Your Printer Fleet Compatibility

Ensuring a smooth transition to Windows Protected Print starts with evaluating your current printer fleet. Not all devices will be compatible with WPP. Only Mopria-certified printers can function with WPP enabled, meaning any printers that do not meet this certification will become obsolete by 2027.

To avoid disruptions in your print operations, take the time to:

  • Identify which printers in your fleet are Mopria-certified.
  • Review your current print workflows to determine how WPP’s limitations may impact your business.
  • Consult with an expert to get a customized assessment and recommendations on the best way forward.

By understanding the compatibility of your devices now, you can plan for a seamless transition and avoid last-minute surprises that could slow down your business operations.

2. Upgrade or Replace Non-Compatible Devices

If your current printer fleet includes devices that are not Mopria-certified, it’s essential to start planning for an upgrade strategy that ensures business continuity and cost efficiency.

Our experienced team can help you:

  • Evaluate your existing printer fleet to determine which devices need to be replaced or upgraded.
  • Recommend cost-effective printer solutions that are fully compatible with WPP and support your organization’s unique needs.
  • Optimize your print infrastructure to reduce costs, improve security, and enhance overall efficiency.

We understand that upgrading a printer fleet can feel overwhelming, and we’re here to help you make smart, strategic decisions that align with your budget and operational goals. Our goal is to minimize downtime, maximize efficiency, and future-proof your print environment as Microsoft rolls out this change.

3. Implement Print Management Solutions

For clients with WPP-enabled PCs, software solutions may be available to support printing via mobility print. Applied Innovation is closely monitoring ongoing feature developments from software partners to help organizations adapt to a post-WPP print environment.

Additionally, major print manufacturers such as Ricoh, Canon, Kyocera, and HP are developing Print Support Applications (PSAs). These applications work with Mopria-certified devices, enabling access to advanced printing features.
